Assistant Coordinator of Scholarships – Tonkawa
SUMMARY:
Reporting to the Scholarship Coordinator, the Assistant Coordinator of Scholarships is primarily responsible for assisting with the college’s institutional scholarship program. This position plays a key role in helping implement the scholarship initiatives of Northern Oklahoma College. The assistant coordinator will assist with development and implementation of College policies, procedures, and systems; monitoring compliance with all federal, state and institutional policies and regulations; administering institutional and private scholarships; and preparing and maintaining appropriate records and reports.
ESSENTIAL DUTIES AND RESPONSIBILITIES include:
- Serving as the primary contact for NOC Foundation scholarships and other private scholarships given to students by providing information on scholarship opportunities, eligibility requirements, and the application process.
- Understanding the policies for scholarships which support the goals of the institution and ensures compliance with regulations, guidelines, and standards by the College, state and federal agencies.
- Assisting with the administration of concurrent scholarships.
- Serving on College committees as determined by the Scholarship Coordinator.
- Assist with administration of college participation scholarships (athletics, music, agriculture, etc.).
- Assisting with the Institutional awarding process: Processing, awarding, notification, retention
- Assisting with maintaining scholarship recipients’ accounts on scholarship software system (AwardSpring), financial aid system (PowerFaids) and through the institution’s student information system (JenzabarOne)
- Assisting in answering questions, accepting applications, gathering information, scheduling and attending scholarship meetings, awarding scholarships, notifying students, maintaining student records, answering questions on billing, ensuring students maintain requirements
- Assisting with maintenance of scholarship website and social media accounts
- Representing office at recruiting events-May be asked to speak
- Compiling and reviewing scholarship appeals with the Scholarship Coordinator in preparation for appeals committee.
- Monitoring state and federal regulations to ensure compliance; Completing all College-required trainings, including Title IX and FERPA.
- Maintaining job manual for position with regular updates to describe processes when substitutions are needed
- Performing all other duties necessary to accomplish the educational objective of the College and/or as assigned by the Scholarship Coordinator and/or Vice President for Development and Community Relations.
QUALIFICATIONS:
Excellent interpersonal, oral, and written communication skills as well as expertise to accomplish the above essential duties and responsibilities are required. The Assistant Coordinator of Scholarship must preserve confidentiality of privileged and sensitive information; use independent judgment and initiative in the planning, organization, and performance of responsible work; establish and maintain cooperative working relationships with those contacted in the course of work. Creativity; team player with strong organizational and customer service skills; and proficiency of Microsoft Office applications are required. Must be able to work under pressure; meet inflexible deadlines; set priorities and maintain professionalism when dealing with individuals. Weekend and evening work will be required with a flexible 40-hour work week schedule. Subject to satisfactory Fair Credit Reporting Act Disclosure which includes a criminal background check.
EDUCATION and/or EXPERIENCE:
A minimum educational level of a bachelor’s degree is required with three to five years of experience in financial aid/scholarships in an academic setting, higher education preferred.

Assistant Vice President for Financial Affairs – Tonkawa
SUMMARY:
Reporting to the Vice President for Financial Affairs, the Assistant Vice President for Financial Affairs assists in all aspects of managing the daily activities related to financial affairs for Northern Oklahoma College with campuses in Tonkawa, Enid and Stillwater. Confers with and supports the Vice President for Financial Affairs on financial matters, while maintaining strong, positive working relationships with all college departments. The Assistant Vice President must have the ability to represent the institution to a variety of constituencies, and must significantly enhance support for the college’s needs.
ESSENTIAL DUTIES AND RESPONSIBILITIES include:
- Assists the Vice President for Financial Affairs in planning short- and long-range operational matters for a multi-campus community college.
- Assists with the interpretation and application of legal mandates, federal and state regulations, policies, procedures, and guidelines pertaining to Northern Oklahoma College.
- Responsible for the accumulation of data to support the development of financial analysis and budgeting, including the preparation, of quarterly/monthly financial performance measures regarding revenue and expenditures.
- Performs fiscal analysis, audits, budget preparation and control, and product and services assessments.
- Assists with planning, coordination, direction and management of the functions and activities of the fiscal services units including payrolls and human resources, financial aid, and fiscal record management, and student financial accounts.
- Assists with planning, organization, and direction of contract management, risk management, affirmative action, and auxiliary services.
- Ensures the effective and efficient operation of the procurement systems and processes related to the disbursement of funds.
- Assists the Treasurer for the Northern Oklahoma College Foundation, Inc. with overseeing fiscal operations including management, investment, and security of all Foundation assets.
- Assists the Treasurer of the Enid Higher Education Council, Inc.
- Professional involvement in state, regional and national organizations pertaining to higher education finance.
- Designs and presents formal presentations to internal and external stakeholders including but not limited to NOC faculty and staff, the NOC Board of Regents, NOC Foundation Trustees, and the Oklahoma State Regents for Higher Education.
- Some travel required between campuses, to state meetings, etc.
- Perform other duties as necessary to accomplish the educational objectives of the College and/or as assigned by the Vice President for Financial Affairs.
QUALIFICATIONS:

EDUCATION and/or EXPERIENCE:

Certified Public Accountant (CPA) certificate is preferred. Must be proficient in Microsoft Office applications and possess experience with institutional software packages (ERPs). Experience with J1 software preferred; ability to learn J1 software required.

Benefits Coordinator – Tonkawa
SUMMARY:
Reporting to the Director of Human Resources, the Benefits Coordinator position manages all benefit related eligibility for employees and serves as the primary point of contact for employee inquiries and enrollment. In addition, the Benefit Coordinator administers and communicates employee benefit programs including health insurance, health insurance, life insurance, 403b contributions, disability insurance, and wellness initiatives.
ESSENTIAL DUTIES AND RESPONSIBILITIES include:
- Manage employee benefit enrollment and terminations
- Ensure all benefit plan documents, summary plan descriptions, booklets and information brochures are accurate and current for dissemination
- Coordinate annual open enrollment and work with Current Broker and OKHEEI Coordinator on presentations to employees
- Establish employee eligibility, coverage and effective dates and premium payment responsibility for employees
- Enter new member enrollment and status changes with existing employees using vendor procedures
- Verify the calculations of the monthly premiums statements for all group insurance policies and maintain statistical data relative to premiums, claims and costs
- Ensure all benefit information on J1 and all other insurance databases is current and accurate
- Coordinate through the benefit platform all eligible employees including but not limited to medical, dental, vision, life, long-term care, Section 125 plans, OTRS medical subsidy and 403(b) annuities
- Remain current on related laws, regulations, and practices affecting benefits by subscribing to related literature, attending conferences, seminars, and/or enrolling in courses
- Provide updates and recommendations on web page design and content to the Director of Human Resources that best communicate employee benefits
- Answer employee calls and walk-ins in a responsive and professional manner
- Collaborate with Payroll and other departments to ensure billing and payroll deductions are accurate
- Assist Director of Human Resource in obtaining statistics and information in renewal process of any Health, Life and ancillary insurance plans that benefit the company

QUALIFICATIONS:

Assistant Softball Coach – Enid
SUMMARY:
Northern Oklahoma College Enid is seeking an Assistant Coach to assist with the management, supervision, and coordination of said program that competes in the NJCAA Division I – Oklahoma Collegiate Athletic Conference (OCAC). The Assistant Coach is primarily responsible for teaching, instructing and implementing skills and strategy. Additional occasional responsibilities could include recruiting, scheduling, facility maintenance, tracking student-athlete progress, and promote NOC student-athletes to university coaches.
ESSENTIAL DUTIES AND RESPONSIBILITIES include:
- Assist the Head Coach with teaching, instructing and implementing sport specific skills and strategy in practice.
- Establish schedules and make travel arrangements.
- Monitor academic progress and supervise study halls of student-athletes.
- Assist with the collection and posting of individual and team statistics to the NJCAA website.
- Assist with facility maintenance and preparation for practice and games.
- Be available during posted office hours for members of said team and students
- Compliance Responsibilities: Assist the Head Coach to insure that NJCAA and College policies and mandated requirements are correctly interpreted and met, and that documentation is maintained per Athletic Department policies and procedures.
- Ensure that all actions of coaches and student-athletes of said team are performed with the appropriate level of instruction, safety precautions, and training and that the physical well-being of everyone is taken into account in all that is done as a member of the program.
- Assist the head coach in regulating, publicizing and enforcing all team regulations regarding personal conduct.
- Successfully support and assist with the program for student-athlete recruitment as developed by the
- Serve as a Campus Security Authority.

QUALIFICATIONS:
Bachelor’s degree required and a willingness to work towards a Master’s degree. Successful candidate may also have part-time teaching duties based on qualifications. Coaching experience preferably on the college level. Candidates must have excellent verbal and written communication skills, organizational skills, and initiative, as well as the ability to perform within a dynamic team environment.
