SUMMARY:

Reporting to the Vice President for Financial Affairs, the Administrative Assistant performs a variety of responsible administrative and clerical duties in support of the department; provides information and assistance to the public; and assumes other responsibilities as assigned by the Vice President for Financial Affairs. ESSENTIAL DUTIES AND RESPONSIBILITIES include:

  • Serve as a coordinating point of contact for the Vice President for Financial Affairs; schedule meetings and appointments, assist with telephone calls, preparation of letters, filing, scanning of documents, etc.
  • Assist in dissemination and compiling of confidential information and reports

Assistant Baseball Coach – Tonkawa

SUMMARY:

Northern Oklahoma College Tonkawa is seeking an Assistant Coach to assist with the management, supervision, and coordination of said program that competes in the NJCAA Division II – Oklahoma Collegiate Athletic Conference (OCAC). The Assistant Coach is primarily responsible for teaching, instructing and implementing skills and strategy.  Additional occasional responsibilities could include recruiting, scheduling, facility maintenance, tracking student-athlete progress, and promote NOC student-athletes to university coaches.  This is a ten-month part time position with benefits including health insurance. 

ESSENTIAL DUTIES AND RESPONSIBILITIES include:

  • Assist the Head Coach with teaching, instructing and implementing sport specific skills and strategy in practice.

  • Monitor academic progress and supervise study halls of student-athletes.

Assistant Livestock Judging Coach – Tonkawa

SUMMARY:

Northern Oklahoma College Division of Agriculture & Biological Sciences is seeking a Assistant Livestock Judging Coach on the Tonkawa campus. This part-time position will be a 10-month, 30 hour per week appointment that includes a benefits package. Considerable time and travel requirements can be expected in this position, with availability on some evenings and weekends.   • Prior livestock judging experience at the collegiate level.

Assistant Vice President for Financial Affairs – Multi-Campus

SUMMARY: 

Reporting to the Vice President for Financial Affairs, the Assistant Vice President for Financial Affairs assists in all aspects of managing the daily activities related to financial affairs for Northern Oklahoma College with campuses in Tonkawa, Enid and Stillwater. Confers with and supports the Vice President for Financial Affairs on financial matters, while maintaining strong, positive working relationships with all college departments. The Assistant Vice President must have the ability to represent the institution to a variety of constituencies, and must significantly enhance support for the college’s needs.

ESSENTIAL DUTIES AND RESPONSIBILITIES include:

  • Assists the Vice President for Financial Affairs in planning short- and long-range operational matters for a multi-campus community college.
  • Assists with the interpretation and application of legal mandates, federal and state regulations, policies, procedures, and guidelines pertaining to Northern Oklahoma College.
  • Responsible for the accumulation of data to support the development of financial analysis and budgeting, including the preparation, of quarterly/monthly financial performance measures regarding revenue and expenditures.
  • Performs fiscal analysis, audits, budget preparation and control, and product and services assessments.
  • Assists with planning, coordination, direction and management of the functions and activities of the fiscal services units including payrolls and human resources, financial aid, and fiscal record management, and student financial accounts.
  • Assists with planning, organization, and direction of contract management, risk management, affirmative action, and auxiliary services.
  • Ensures the effective and efficient operation of the procurement systems and processes related to the disbursement of funds.
  • Assists the Treasurer for the Northern Oklahoma College Foundation, Inc. with overseeing fiscal operations including management, investment, and security of all Foundation assets.
  • Assists the Treasurer of the Enid Higher Education Council, Inc.
  • Professional involvement in state, regional and national organizations pertaining to higher education finance.
  • Designs and presents formal presentations to internal and external stakeholders including but not limited to NOC faculty and staff, the NOC Board of Regents, NOC Foundation Trustees, and the Oklahoma State Regents for Higher Education.
  • Some travel required between campuses, to state meetings, etc.

QUALIFICATIONS:

Coordinator of Academic Services for Workforce Readiness – Tonkawa

SUMMARY: 

This position is responsible for coordinating academic services for workforce readiness. The focus is the workforce pool of students who are preparing through higher education and shorter-term trainings to meet the state’s current and future employment needs, particularly employment needs in the Northern Oklahoma College service sector. This position plays a pivotal role in bridging the gap between education and employment, ensuring programs align with both student needs and industry demands. The position will be housed in Tonkawa but will have additional responsibility for providing support to all locations at which Northern courses are offered.

ESSENTIAL DUTIES AND RESPONSIBILITIES INCLUDE:

  • Assess local workforce needs by engaging employers and utilizing labor market data, and collaborating with college and community partners to inform program development and training offerings. Serve as the institution’s liaison for online and virtual tools for this unit including but not limited to: Handshake or similar software, economic indicator tool, Tutor.com or similar tool. Track virtual tool usage and on-site tutoring, career or other software tool usage for monthly report outs. Coordinate on campus tutoring services or other similar services and resources.
  • Facilitate job placement and career development services for students and job seekers, including job-search classes, labor market analysis, and referrals to supportive services
  • Build and maintain relationships with local business, and industry partners, and institutional division chairs serving as a resource to ensure program alignment with current workforce trends and employment requirements.
  • Coach and advise students who have not declared a major to help them align their personal, academic, and career goals, which can lead to the student choosing a major focus of study.
  • Assist in developing and coordinate academic internships and job shadowing opportunities by assisting faculty and students in making connections with workforce partners, reviewing student resumes, maintaining essential paperwork, and writing a press release to be sent out once the internship is completed.
  • Coordinate campus located Career Services opportunities for students each academic year such as resume review, mock interviews, and academic specific career fairs.
  • Schedule, promote, and coordinate annual advisory board meetings and report out.
  • Collaborate with academic division chairs, athletic coaches, and other leadership to develop additional academic services for workforce readiness as needed.
  • Coordinate and monitor articulation agreements and collaborative projects with high schools, other community colleges, vocational education providers and postsecondary institutions to support seamless educational pathways.
  • Analyze unit effectiveness and participants’ outcomes, maintain accurate records, prepare required reports, and use feedback to make data-driven improvements to training and workforce initiatives
  • Represent the college at meetings, conferences, and events to network, stay informed of industry trends, and serve as a workforce readiness advocate.

Assistant Director to Human Services – Tonkawa

SUMMARY:  

Reporting to the Director of Human Resources, the Assistant Director of Human Resources supports overseeing and managing various Human Resource functions. This role combines the strategic and operational functions of Human Resources with the critical responsibilities of managing payroll and employee benefits for all employees of Northern Oklahoma College.

ESSENTIAL DUTIES AND RESPONSIBILITIES include:

  • Supervise positions of Staff Assistant to Human Resources, Payroll Officer, and Benefits Coordinator. Serve as backup for positions during absences.
  • Coordinate Human Resource information for myNOC and the Human Resource website.
  • Service as primary contact for Workers Compensation and FMLA. Process Workers Compensation injury claims and Family Medical Leave Act (FMLA) requests.
  • Serve as Oklahoma Teachers Retirement System (OTRS) point of contact. Complete processes for retiring employees including completing Employee Retirement Verifications or information requested by OTRS.
  • Oversee insurance consortium and retiree/employee benefit programs.
  • Manage Benefit Coordinator’s communication with the OKHEEI insurance coordinator and Insurance Broker of the OKHEEI insurance consortium.
  • Attend Monthly OKHEEI insurance consortium meetings.
  • Analyze and interpret monthly publications and emails on employment regulations.

Information Technology Coordinator – Stillwater

SUMMARY:

ESSENTIAL DUTIES AND RESPONSIBILITIES include:

  • Hire and schedule facilitators for ITV classes
  • Maintain and troubleshoot ITV & audio/video technology
  • Maintain and manage the campus-wide network to include wireless
  • Set up and manage audio and video equipment for events on campus, this includes evenings & weekends
  • Distribute intercampus mail between ITV facilitators and instructors for far sites and campuses

SUMMARY:

Under the immediate supervision of the Director of Human Resources, the Staff Assistant to Human Resources is responsible for providing support to the Director of Human Resources and in all areas pertaining to Human Resources.

ESSENTAIL DUTIES AND RESPONSIBILITIES include:

• Initial contact in the Office of Human Resources
• Process incoming and outgoing office mail
• Process student payrolls (bi-weekly) on J1payroll module and submit electrically to
Office of Management & Enterprise Services for direct deposit
• Create and maintain student employee files
• Perform mandatory employment verification through E-Verify for Student workers
• Create and post monthly and weekly timesheets for full time employees
• Maintain leave records and accrue leave for full time employees
• Complete Verification of Employment for all employees
• Process incoming faxes received by Human Resources
• Process job advertising on the NOC website and through email, process incoming applications, send acknowledgement emails, interview sheets and affirmative action forms
• Assist with W2 completion and mailing process
• Process Oklahoma Tax Commission non-compliance letters
• Maintain job manual for position with regular updates to describe processes when substitutions are needed
• Post Employment Law posters
• All other duties as assigned
